If they apply to be an Au-pair or family they are asked for a few pieces of basic information and asked to write a letter of introduction through a web form. Once completed, an account is created for them and the status is set to ‘Applicant’. Each time a letter of introduction has been written and saved to the database the admin is notified and can log in and view the information. The admin can read it online and either accepts it or rejects it. If rejected a note can be entered which will be emailed to the applicant informing them they have not been accepted. In addition their information will be deleted from the database.

If accepted a username and password is entered and this will get emailed to the applicant and they will be told to use it to log back in and fill out a longer application. Also, their status will get upgraded to ‘Approved Applicant’. (the long application will be different for families and Au-pairs.)

Once the use receives the login information they come back to the site, login and fill out a detailed application. Since this will be a fairly long application it will be broken up into steps and they each time they complete a step and move to the next step their information will be saved allowing them to come back another day and finish where they left off.

If the user is a family, they will be taken to a payment page and must submit their credit card information so a fee can be charged before they are able to fill out the long application. (Authorize.net will be the gateway used in the transaction process)

Once the user has completed the long application the admin is notified and they will review the entire application. If not accepted, the user will be notified via email and their information can be deleted. However, if the application has been approved, the user will be notified and the user’s status will change to ‘Active Client’. They will be told to log back in and that they can start browsing the database for a match.

When an active client logs into the system they can view either Au-pairs or families.(families can view Au-pairs and Au-pairs can view families)
The active users can select a country and region then view a list of all active clients in that region. Selecting a client from the list will show detailed information.

Clients :

Each user will have a favorites list and when on the details page of a family or Au-pair they can click a button to add this person to their favorites. At any time they can go to their “favorites page” and it will display a listing of everyone they have added.

When the user is finished browsing and has finalized their favorites list they can click a ‘Submit by selection’ button which will send an email to the admin identifying the user and listing the names of everyone on their “favorites list”. The admin will then continue this process outside of this web application.
